Coastal Cottage Terms and Conditions

1.    General

  • Please ensure you read and fully understand these booking terms and conditions. If anything is unclear, please contact us so we can explain in further detail to avoid any misunderstandings.

Bookings are subject to the following terms and conditions.

  • A contract between you and Coastal Cottage will come into existence when the booing is made and deposit is received.

  • The contract binds you and all the members of your party. It is your responsibility to ensure that all members of your party accept the terms of the contract set out in these terms & conditions of booking and follow all bookings procedures. Failure to disclose all relevant information or comply with these terms may lead to termination of the contract & loss of the booking.

2. Specialist Equipment

As a specialised disabled holiday let our properties contain the necessary specialist equipment. This includes:

  • Ceiling track Hoists

  • Grab Rails and bars

  • Profiling bed.

  • Shower seat

  • Shower chair

  • Adjustable height kitchen bench and sink

  • Adjustable height changing bench

Use of the equipment is for the disabled person only.  The maximum load for the hoists is 200kgs. Our equipment is not suitable for bariatric patients.

  • The maximum user weight for the profiling bed is 145kgs.

  • Any equipment brought to the property is your responsibility and damage caused to the property or its contents will be liable for the costs of repair.

  • You are responsible for ensuring that all specialist equipment is used responsibly and for its intended purpose only. By accepting these terms and conditions, you are accepting responsibility for the safe operation and Manual Handling Practises as directed by your health professional when using the equipment. If you, or your party are unsure of the exact operation due to brand variations or lack of training you must seek our advice before operation. Electronic manuals for specialist equipment will be provided at the time you pay your balance in full.

  • You must supply the sling for the hoist and by accepting these terms and conditions you are responsible for the Maintenance, sizing and safety of the slings you use.

  • You are responsible for the safe connection and disconnection of your slings while the specialist equipment is in use.

  • You must not let anyone work on the specialist equipment without first having obtained consent. Any breakdown or if the equipment is defective or damaged in any way you must immediately inform us. You will be liable for cosmetic damage to the product including bodywork and will be liable for the reasonable costs of repair.

  • The adjustable kitchen bench, sink and changing bench will be set at a standard height unless specified by you via email between final payment and 24hrs prior to arrival. If you require the height to be adjusted during your stay, please let us know and we will arrange for this. You are not permitted to change the height of the bench and will be liable for any damage caused as well as personal injury which may result from attempting to do so.

3. Deposit

  • A non-refundable 25% deposit of the holiday cost is payable at the time of booking. Bookings made less than 9 weeks before your arrival date must be paid in full, plus the £300 refundable damage deposit (paid by all, see para 7).

  • The balance must be paid no later than 9 weeks before the commencement of your holiday. If the balance is not received by the due date, then your holiday will be treated as a cancellation, and you will remain liable to pay the balance of the rent.

4. Cancellations

All cancellations must be notified in writing, including via email. The notice given by you in cancellation will determine how much you will be refunded.

  • 3 weeks or less notice – No refund due

  • 5 weeks or less notice – 10% of the total accommodation cost refunded

  • 7 weeks or less notice – 20% of the total accommodation cost refunded

  • 9 weeks or less notice – 40% of the total accommodation cost refunded

  • More than 9 weeks’ notice – your liability to pay the balance will be waived, however, the Deposit will not be refunded.

  • The Deposit is non-refundable in all circumstances when you cancel a booking.

  • If a refund is due, we will aim to return the applicable amount within 10 working days of cancellation.

  • Exception to cancellation policy:

o   After booking you find that you are unable to stay with us due to one of your named party requiring unforeseen hospitalisation attributable to their medical condition(s), for which you cannot obtain travel insurance, you are entitled to a refund of your deposit and payment.  To satisfy this criteria we will require proof of treatment/hospitalisation in written form from your medical team, and a letter from an insurance company declining travel insurance cover for that particular condition.

o   This clause is designed to encourage handicapped people to reserve a holiday, but does not apply to normally insurable risks eg breaking a leg.

We strongly advise that you take out comprehensive travel insurance to cover cancellations. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation.

Your booking will not be cancelled by us except in exceptional circumstances beyond our control. Notification will be given of the cancellation as soon as possible and we will promptly refund all payments made for your holiday. Our liability for cancellation will be limited to payments made to us.

5. Number of occupants

Overnight occupancy is capped at 6 adults with the option of accommodating children with cot/s and camping beds, please enquire for details.

  • Parties and group events are not permitted. Visitors are allowed, the maximum number of persons using the accommodation at any time must not exceed 12 and only those listed on the booking form can occupy the property after 11pm. We reserve the right to terminate the booking without notice and without refund in case of a breach of this condition.

  • Bookings cannot be accepted from persons under eighteen years of age.

  • We reserve the right to refuse a booking without giving any reason.

  • We reserve the right to enter the property at any time to undertake essential maintenance or for inspection purposes.

  • Check in is available from 3pm unless otherwise agreed and guests are required to vacate the property by 11am on the day of departure. This allows the accommodation to be thoroughly cleaned and prepared for incoming guests.

  • Vaping or smoking anywhere inside the premises will result in immediate termination of occupancy and forfeiture of all payments. This must be strictly adhered to and any damage or extra cleaning caused by pets or smoking will be at your expense.

6. Pets

  • Dogs are only allowed to stay at Coastal Cottage with the following conditions. Each dog (not including assistance dogs) will incur an additional charge of £35 to cover the cleaning cost.

  • Dogs must always be under strict control while in or at the Property.

  • You are liable for any injury caused by the dog.

  • Any fouling must be cleared up without delay.

  • The dog owner must bring the dog's bed or basket for sleeping in.

  • Dogs must not be left alone in or at the property or elsewhere at any time.

  • Dogs must not lie on beds or furnishings, and hair must be cleared up before departing.

  • Dog owners must ensure that their pets are free from parasites and fleas before they occupy the Property. Failure to do so may incur subsequent charges.

  • Young dogs (e.g. puppies less than 6 months’ old) must be declared to us at the time of booking and authorised by the Owner.

  • You will be liable for any damage caused by any Holidaymakers’ dogs. Any damage is to be reported to us immediately. Any additional cleaning required, that may incur an additional charge, will be at our discretion.

  • Pets other than dogs may be allowed at our discretion. This must be approved prior to making a booking and can be arranged by email or telephone.

  • If you break these terms, we may notify you that you have broken these terms and may cancel the booking and ask that you leave the Property before the end of the holiday period without compensation, or that you pay an additional reasonable charge.

  • Registered assistance dogs are allowed in all Properties at no charge. Please notify us of the intended presence of any assistance dogs, with evidence of registration, prior to making a booking.

  • If any Holidaymaker has an allergy to dogs, please be aware that we cannot guarantee that a dog has not stayed in a particular Property. We cannot accept responsibility for any suffering which may occur because of such animals having been present in the property.

7. Damage deposit

In making a booking you accept responsibility for any theft, breakage or damage caused by you, pets or any member of your party and agree to indemnify us in full for any loss that we may incur as a result.

  • A security/damage deposit of £300 is required at the time full payment becomes due – this will be refunded to you via BACs within 7 days of your departure once we have confirmed that the lodge has been left in a clean and tidy condition without damage or breakages.

  • There will be a charge for losses/breakages and the security deposit may be adjusted should any extra cleaning be required. If damage/loss exceeds the £300, we will issue an invoice for the difference which will be due for immediate payment.

  • If you discover the inventory to be incomplete, please inform us immediately so that we can address this for you.

8. General conduct

  • Please do not move any furniture from one room to another.

  • Please remove shoes before entering the house.

  • Please lock the doors and close the windows when you leave the property unoccupied.

  • We are an eco-friendly property please make sure you switch off lights, heating, air conditioning or any electrical appliances when you go out or do nor require them.

  • Candles are not allowed inside the house.

  • We offer a mid-week clean and towel change for an additional £50 charge. Please stipulate this request at the time of booking.

  • Please don’t take any bath towels with you to the beach.

  • The owner reserves the right to make a charge to cover additional cleaning costs if the client leaves the property in an unacceptable condition.

  • Please note that if any keys issued are not returned at the end of your stay, then the cost of replacement will be charged to you.

  • You are not permitted to re-let or sublet the property, even free of charge.

  • We shall not be liable for any temporary defect or malfunction of any equipment, machinery or appliance in the building, grounds or hot tub.

  • No compensation will be given for any temporary outage of electricity, gas, water, internet connection or television service.

  • We are not responsible for the loss of any personal belongings or valuables of the guest.

  • All inventory must remain in the property and not be taken to another property.

  • If you experience any problem or complaint concerning your holiday, please reported them directly to us and we will endeavour to put matters right. Complaints lodged after departure will be taken as feedback and we will endeavour to address them for your next stay with us.

9. Electrical usage

The domestic electricity is capped at 150 KwH per week and is not to be used to charge electric vehicles.  Additional electrical use will be taken from the deposit and billed at the standard provider charge.

We have an EV charging point for your use, if you require this, please inform us 7 days before your arrival so that we can open it.  Use of the EV charger will be billed according to usage and deducted from your deposit.

10. Hot tub

The property has access to a wood fired hot tub. Please notify us if you require use of the hot tub prior to your arrival.

  • The hot tub is not to be used after 11pm out of respect for our neighbours.

  • Please avoid using glass or sharp objects near hot tub.

  • Guests must shower before entering the water to rinse off creams and makeup.

  • Guests are responsible for the safety and security of their children at all times. Never leave children without adult supervision.

  • Under 12s are not permitted to use the hot tub.

  • Eating or drinking is not allowed in the hot tub.

  • If the hot tub water is required to be changed during your stay it will incur a £50 charge.

11. Outside space

  • Please park your vehicles in the designated parking spaces, ensuring cars do not block access to other properties. Parking is limited to 2 vehicles per booking.

  • Vehicles must not be driven on grassed areas – unloading must be done from parking areas. Vehicles and belongings are left entirely at your risk.

  • Please respect the community and try to keep noise levels to a minimum, especially between 11pm and 8am.

  • Barbecue – please use the designated barbecue utensils and clean the barbecue after use.

  • Coastal Cottage has a small garden and outside seating area. During your stay, you will have access to children’s play equipment within the communal grounds of Lower Laurel Farm. Children must always be supervised by a responsible adult, ensuring the safety of the children using the equipment. Coastal Cottage accepts no liability for any accidents or injuries incurred whilst you or your party use the play equipment.

12. Our responsibilities

  • We reserve the right to make reasonable amendments or additions to these terms and conditions without notice.

  • We expect all guests to enjoy the facilities and treat the property with the same respect that they would with their own house.

  • We reserve the right to terminate a holiday without compensation where the unreasonable behaviour of the persons named on the booking (or their guests) may impair the enjoyment, comfort or health of others.

  • We will maintain the specialist equipment in accordance with the manufactures guarantee and ensure it is regularly serviced and well maintained through a reputable company.
