The type of personal information we collect 

We will only process personal information about you when we need to and this may include:

·       Vehicle registration data

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

·       To process your booking with us,

·       To establish a contract between you and mountain lodge.

We use the information that you have given us in order to

·       To keep you updated with your booking

·       Maintain a tax record so that we are compliant with UK law

·       To keep you informed of upcoming offers (you may opt out at any time).

You may opt out from this at any time through our correspondence and marketing emails. 

We may share this information with third party organisations should you request us to provide additional services during your stay at Mountain Lodge.  These services include but are not limited to outside catering or entertainment providers. 

Third Parties

We use Bookalet to process bookings and manage payments, they may personal information made by customers of active Bookalet account holders for a period of 7 years. This will contain booking detail information and personal data such as names. 

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are: 

  1. Your consent. You are able to remove your consent at any time. You can do this by contacting us at mountainlodge@lowerlaurelfarm.com

  2. We have a contractual obligation.  In setting up the agreement between us we have to retain some of your personal information. This will include your name and email address. 

 

How we store your personal information 

We may retain information about you, including personal data, for the period necessary to fulfil the purposes for which it was first collected unless a longer retention period is required by law. In determining data retention periods, we take into consideration contractual obligations, legal obligations and the expectation and requirements of our customers. When personal data is no longer needed, we will securely delete or destroy it.

In some circumstances we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes in which case we may use this information indefinitely without further notice to you. 

Your data will be deleted as soon as we are no longer required to keep it for legal or financial compliance reasons. 

Vehicle registration information will be deleted upon the completion of your stay. 

Payment details will not be held by us as transfers are conducted securely through Stripe. Further information can be found here

All other information will be erased from our records within 6 months of your booking.  We will retain your contact details should you accept to be on our mailing list for marketing purposes.  

We may also provide you with information about offers and services that are similar to those that you have already received, or we feel may interest you. If you:

  • have already concluded a contract with us we will only contact you by electronic means (e-mail or text) with information about offers and services similar to those which were the subject of your previous booking. If you do not want to be on our mailing list, you can opt out at any time by contacting us or unsubscribing by using the links provided in our electronic communications and at the point of providing your details.

  • are a potential new customer, e.g. enquiring about our property, we will contact you by electronic means only if you have provided your explicit consent to this. If you are happy for us to use your personal data in this way, please tick the relevant box situated on the website page on which we collect your details. Again, if you do not want us to use your data in this way, you can opt out at any time by contacting us or unsubscribing by using the links provided in our electronic communications.

In addition to the specific purposes for which we may process your personal data set above, we may also process any of your personal data where such processing is necessary for compliance with a legal obligation to which we are subject, or to protect your vital interests or the vital interests of another natural person. 

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information. 

  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

  • Your right to removal from communications - You will be given the opportunity to unsubscribe from promotional messages, including emails with travel-related opportunities, in any such promotional message we send.

Data Security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees and other third parties who have a business need to know. They will only process your personal data on our instruction and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
